How to Close a Dialog Box in Word (Even a Hidden or Stuck One)

To close a dialog box in Word, press Esc or select Cancel to close it without changing anything, or select OK to apply your choices and close it. The X in the dialog’s top-right corner works like Cancel. If Word says it can’t close or can’t do something “because a dialog box is open” and you don’t see one, the box is usually hidden behind another window, and Alt+Tab will bring it back into view.

These steps apply to Word for Microsoft 365 and recent versions on Windows. Mac differences are noted where they matter.

Ways to Close a Dialog Box

Action What it does
OK (or Insert, Apply, Close) Keeps your changes and closes the box
Cancel Discards changes made in the box and closes it
X in the corner Same as Cancel
Esc key Same as Cancel; works on Windows and Mac
Enter key Presses the highlighted default button, which is usually OK
Alt+F4 (Windows) Closes the active dialog without applying changes

Some dialog boxes, such as Find and Replace, have a Close button instead of Cancel. Anything you already did from that box, like replacements, stays done after you close it. Our guide to finding and replacing text in Word explains that box in detail. Press Ctrl+Z if you need to reverse it.

Be careful with Alt+F4

Only press Alt+F4 when the dialog box itself is selected. If the main Word window is active instead, Alt+F4 starts closing Word and your document. Word will still ask you to save unsaved changes, but Esc is the safer habit.

Dialog Box or Task Pane?

Not every panel in Word is a dialog box. Task panes, such as the Navigation pane, Styles pane, Clipboard, and Editor, dock to the side of the window and let you keep typing while they’re open. Close a task pane with the X at the top of the pane. Esc usually doesn’t close them.

A true dialog box floats over the document and blocks you from editing until you close it. Font, Paragraph, Page Setup, Word Options, and Save As are all dialog boxes.

Fix “Word Cannot Do This Because a Dialog Box Is Open”

This message, or “You cannot close Microsoft Word because a dialog box is open,” means a dialog is waiting for an answer somewhere you can’t see it. Try these steps in order:

  1. Select OK on the message itself.
  2. Press Alt+Tab and hold Alt to see every open window. Look for a small Word window, such as a Save As, Print, or spelling box, and select it.
  3. If you still don’t see it, hover over the Word icon on the taskbar. Each thumbnail is a separate Word window, and the dialog may be one of them.
  4. Press Windows key+D to show the desktop, then select Word on the taskbar. This often brings the hidden box to the front.
  5. Once you see the dialog, press Esc or select Cancel.

If Word is set as your email editor in Outlook, check Outlook too. An open message or prompt there can hold a Word dialog in place.

If the dialog box is off the screen

This often happens after unplugging a second monitor. The dialog opens on a screen that’s no longer there.

  1. Press Alt+Tab until the hidden dialog is the selected window.
  2. Press Alt+Spacebar to open that window’s menu.
  3. Press M to choose Move.
  4. Press any arrow key once, then move the mouse. The dialog follows the pointer.
  5. Click to drop it where you can see it, then close it.

When a Dialog Box Won’t Close at All

If the buttons don’t respond and Word shows “Not Responding,” Word itself has frozen.

  1. Wait a minute. Word may be finishing a save, a print job, or an add-in task.
  2. Press Ctrl+Shift+Esc to open Task Manager.
  3. Select Microsoft Word and choose End task. Any changes since your last save may be lost.
  4. Reopen Word. It may offer recovered versions of your file in the Document Recovery pane. If it doesn’t, see where to find AutoSaved and AutoRecovered Word documents.

On a Mac, press Option+Command+Esc, select Microsoft Word, and choose Force Quit.

If the same dialog keeps getting stuck

  • Test Safe Mode. Hold Ctrl while you start Word and confirm that you want to open it in Safe Mode. If the problem disappears, an add-in is likely the cause.
  • Turn off add-ins. Go to File > Options > Add-ins, choose COM Add-ins in the Manage list, select Go, and clear the check boxes. Turn them back on one at a time to find the problem.
  • Repair Office. In Windows Settings > Apps > Installed apps, find Microsoft 365 or Office, choose Modify, and run Quick Repair. Use Online Repair if that doesn’t help.

FAQ

Does closing a dialog box with the X save my changes?

No. The X works like Cancel, so settings you changed inside the box aren’t applied. Select OK if you want to keep them.

How do I close a dialog box on a Mac?

Press Esc or select Cancel to back out, or select OK to apply your changes. Many Mac dialogs appear as sheets that slide down from the top of the document window, and they close the same way.

How do I reopen a dialog box I closed?

Repeat whatever opened it. Many dialogs open from the small arrow in the bottom-right corner of a ribbon group, such as Font or Paragraph on the Home tab. Others have shortcuts, like Ctrl+D for Font and Ctrl+H for Replace.
