How to View Document History in Word Without Restoring

To see an earlier saved state of a Word document without replacing the current file, open the OneDrive or SharePoint copy, choose Version History, and open one of its dated versions. Inspect the older content, then close it when you are done. Choose Restore only if you actually want that version to become current. Microsoft 365 Version History requires the file to be stored in OneDrive or SharePoint; it is not a keystroke-by-keystroke editing log.

View document history without restoring

  1. Check the document’s location. Confirm that you opened the file from OneDrive or SharePoint while signed in to the account that owns or can access it. A downloaded attachment with the same name may not show the cloud file’s history.
  2. Open Version History. In current Microsoft 365 Word, select the file name at the top and choose Version History. Some desktop versions offer File > Info > Version History. In Word for the web, use File > Version History; on Mac, the file-name menu may say Browse Version History.
  3. Choose a dated entry. Open it to inspect the earlier saved document. Microsoft describes opening a selected version in a separate window.
  4. Compare what matters. Look at the passage, table, formatting, or image you are investigating. Do not rely only on the timestamp or author name.
  5. Leave the current file in place. Close the old version after inspection. Restoring is a separate action that makes the selected older content current.

For example, if a chart vanished between Tuesday and Wednesday, open versions near those dates and check the chart itself. You can find the first retained copy that still contains it without rolling back the entire document.

What the list of versions can and cannot tell you

Version History can help with It does not promise
Inspecting earlier saved states of the cloud file A record of every keystroke or every moment of editing
Finding content that appeared in a retained version That every past save is still available
Seeing version dates and available author details A complete reviewer-by-reviewer list of individual edits

The number of available versions depends on the account and the OneDrive or SharePoint library’s settings. If a file was saved only on a computer, Microsoft 365’s cloud Version History does not apply to that local copy. Look for a backup that was already configured.

If Version History is missing

  • Check the exact file. The cloud original, a downloaded copy, and an emailed attachment can share a name but have different histories.
  • Check the account. Switch to the personal or work account that holds the document. A shared file may live in another person’s library.
  • Check library settings. On work or school SharePoint, versioning and retention can be controlled by the library owner or administrator.
  • Check whether the content was ever saved. If the missing work vanished before saving or syncing, follow an unsaved-document recovery route rather than assuming a version exists.

When you need who changed a sentence

Use Review > All Markup to inspect existing Track Changes revisions and reviewer details. Tracking had to be on when the edit was made; turning it on later cannot reconstruct earlier untracked edits. Our guide to seeing who edited a Word document covers those filters and the limits of tracked revisions.

When you decide to restore

Opening an older version for inspection does not require restoring it. If you do want to replace the current cloud file, first protect any recent work you may need by saving a separate copy. Then use Restore on the version you inspected and verify the result. Our previous-version recovery guide covers that decision and local or unsaved-file alternatives. The broader Word Version History guide covers interface variations in more detail.
